Why does a new hire without an NPI stall credentialing?

CAQH, PECOS, Medicaid and every payer application open with the same field. Without it, nothing starts.

Credentialing already takes weeks after the application is complete. A hire who still has to get an NPI adds the NPPES wait in front of that, and your coordinator spends the first week chasing a government portal instead of filing.

Today

The hire applies at NPPES after accepting the offer.A CMS account, a multi-page application, usually a few business days. A name or address mismatch can hold it for about 20 days. Your coordinator asks "any news?" every morning.

With one link in the offer packet

The hire fills out one short form before day one.The NPI arrives by email and text, with all the documentation, usually within 10 minutes. Your coordinator has the number the same day and starts CAQH and PECOS a week earlier.

What changes in our process?

One line in the offer packet. The rest of your checklist stays the same.

You still run CAQH, PECOS, Medicaid and the payer applications exactly as today. They just start with the NPI already in hand.

The line

Before your start date, please get your NPI number if you do not have one: https://simplenpi.com/start (free, filed for you, usually within 10 minutes; or apply yourself at nppes.cms.hhs.gov). Send us the number when it arrives.

Want your logo on the form as well? Make a branded link, no account needed.

What the hire needs
  • Legal name exactly as on the Social Security card, date of birth, Social Security number, sex, birth state or country
  • Email and mobile phone
  • Mailing address and practice address (home is fine)
  • Profession or license type, the state license number and the issuing state

If the hire already has an NPI from school or a previous job, the form says so at the first step and sends them to the free lookup. CMS issues one per person for life.

What does the hire see?

A short form, a person who checks the license and address, then the NPI by email and text with all the documentation.

About three minutes, no CMS account to create. The hire signs an authorization on the last screen; SimpleNPI files the application with CMS under it.

  1. Name, license type and number, contact, mailing and practice address, identity, and the e-signed authorization.
  2. A person checks the license and the address before anything is filed.
  3. The application goes to CMS. The NPI usually issues within 10 minutes; filed after midnight Eastern, it issues around 6 am Eastern.
  4. The hire gets the NPI by email and text, with all the documentation and the steps to claim their own CMS login.
What about the group's Type 2 NPI?

SimpleNPI files individual (Type 1) NPIs today. A group, clinic or professional entity that bills under its own name needs a Type 2, filed at nppes.cms.hhs.gov by the practice's authorized representative. The free lookup covers both types.

Who owns the CMS login?

The hire. Every NPI we send includes the steps to claim it.

The NPI belongs to the provider, not the practice. The hire creates their own NPPES Identity & Access account with the same name and Social Security number, and CMS links the NPI to it. You never need their CMS password.

Updates are the provider's

Practice address, taxonomy and license changes are made by the provider in NPPES, within 30 days of a change.

Leaving the practice changes nothing

The number goes with the provider; you remove them from your roster and payer rosters as today.

No shared credentials

Nothing about SimpleNPI requires your team to hold a provider's government login. That is by design.

The record is public

Name, NPI, taxonomy, practice address and license appear in the CMS registry the next day; SSN and date of birth never do.

Can we check a roster?

Yes, free: look up and verify by name, business name or number, on the site or by API.

Results come from the CMS registry, which CMS refreshes daily. Status (active or deactivated), taxonomy, license numbers and addresses, for any provider or organization.

On the site

How it goes

One reply, one paste. Your checklist does not change.

  1. Reply with the practice name, state and the license types you hire. We send the link with your ref and the one line for the offer packet.
  2. Optional 20-minute call: we file an NPI live for one of your hires while you watch.
  3. Optional: a webhook so the number lands in your system the moment CMS issues it (developer docs).
  4. Ask any time for counts under your ref.
