What SimpleNPI does
SimpleNPI prepares and files National Provider Identifier (NPI) applications with the Centers for Medicare & Medicaid Services (CMS) on your behalf, under an authorization you sign, and offers a free lookup of the public NPI registry. SimpleNPI is a private service and is not part of any government agency.
What we collect, and why
- Application details: your name, license type and number, email, mobile number, and mailing and practice addresses. CMS requires these on every NPI application, and we use them to file it and to tell you the result.
- Identity details: date of birth, sex, place of birth and Social Security number. CMS requires these to issue an NPI. We collect them only on our own secure page, never by email, text or chat.
- Your signed authorization: your typed name, the date and time, and the network address and browser you signed from, so we can show CMS and you that you authorized the filing.
- Lookup searches: the names or numbers you search are sent to the public CMS registry and are not tied to you.
How long we keep it
- Your Social Security number, date of birth, sex and place of birth are encrypted the moment they are received and are deleted as soon as your application is filed with CMS, or within 14 days if it is never filed.
- The rest of the application, the result (your NPI) and your signed authorization are kept for seven years, because we certify the filing to CMS and may need to show the authorization behind it.
Who sees it
- CMS, through its NPPES system, receives everything on the application. CMS's own privacy rules apply to what it holds.
- Service providers that store and send data for us: Amazon Web Services (hosting, encrypted storage, email) and a text-messaging carrier for status texts you opt into. They process data only to run this service.
- We never sell your information, never share it with employers, platforms or marketers, and never use it for advertising.
Your choices
- You can cancel an application before it is filed by emailing us; we delete the identity details at once.
- You can turn off status texts by replying STOP.
- You can ask what we hold about you, ask for a copy, or ask us to delete what we are not required to keep.
Security
Data travels over encrypted connections and is stored encrypted with keys we control. Only the filing system can read identity details, and only while filing. Nothing with your Social Security number is ever written to logs, emails or texts.
