Don't lose new providers during onboarding

Help applicants get their NPI and finish onboarding. SimpleNPI replaces the government-site detour with a simple popup. Platforms can enable this by adding a single link in their onboarding form.

Is this our problem?

An NPI should be a step forward, not a stopping point.

For a newly licensed provider, applying for an NPI during onboarding can be unfamiliar work. Sending them to NPPES adds accounts, decisions and follow-up outside your onboarding flow. SimpleNPI automates that step and procures their NPI in minutes, not days.

What applicants encounter at NPPES

Is this familiar to your team?

Your help center links to nppes.cms.hhs.gov

"Don't have an NPI? Apply here, then come back." That link is a massive drop off point.

You recruit new graduates or newly licensed providers

Massage, counseling, social work, nursing. Most have never filed anything with CMS.

Your inbox sees "I can't get my NPI"

"Which taxonomy?" "My name doesn't match." "I never got the email." Those are NPPES support tickets landing on you.

What is it costing us?

What could NPI-stage drop-off mean for your platform?

Explore a scenario using your own funnel data. Defaults are illustrative, not measured results. This estimates provider lifetime value associated with drop-off that SimpleNPI is proven to recover.

Your funnel

Your illustrative opportunity

40providers lost per month
480per year
What SimpleNPI could help you keep: $960,000 a year in provider lifetime value.

Providers lost per year, times the estimated lifetime value of one provider. Illustrative: change the numbers on the left to see your own.

What does the fix look like?

One short form. Support through issuance.

Applicants complete a short form, authorize us to file, and receive their NPI by text and email when issued. SimpleNPI supports the application through the CMS process; issuance timing depends on CMS review but most NPIs are issued and sent from start to finish in under 10 minutes.

Without SimpleNPI

Leaves your onboarding to navigate CMS account setup and the NPPES application independently, then returns to enter the issued NPI.

With SimpleNPI

Completes a guided form with filing support, then receives their issued NPI by text and email. A link opens SimpleNPI; the pop-up option keeps your onboarding page open.

Already has an NPI? We find it first.

Free registry check before anything is filed. Many applicants have one and don't know it. Returned in seconds.

Name doesn't match the license? We catch it.

The main cause of a stalled application is checked before filing, not after.

CMS holds it for review? We work it.

If NPPES pends an application, we handle it with the Enumerator and the applicant sees a status instead of silence.

How do we plug it in?

Start with a link. Integrate when you’re ready.

Each level includes the ones before it. Always free for individual practitioners, and free for platforms to try for 30 days. After the trial period you can remove the link and revert to your previous method, or if it makes sense you can select from one of the tiers below:

Level 0Link swap
Change the help-article link and one sentence.Optional prefill rides in the link the applicant carries. No feed from you.
15 minutesNon-engineering staff
You get: applicants back the same hour, plus a daily email or CSV with applicant, NPI, issue date and registry record.
Level 1Pop-up button
Add one script tag and a button. Our form opens in a window over your page, not an iframe. The applicant's details go to our page, never through yours.
About an hourFront-end engineering
You get: the applicant never leaves your page, and the NPI lands in your onboarding field when CMS issues it.
Level 2Webhook
Give us one HTTPS endpoint.Signed, retried, idempotent. Status endpoint shows pending applications with an ETA.
Half a dayEngineering
You get: the NPI in your system without a browser in the loop, and "pending, ETA" instead of an applicant gone quiet.
Level 3API
Post what your form already collected. The applicant gets a secure link for identity details and e-sign only, about 60 seconds. Nothing sensitive passes through you.
Your sprintSandbox and test keys included
You get: the shortest applicant touch and the full lifecycle in your system.

At every level, this moves to us

Support inquiries, answered by us

"Which taxonomy am I?" "My name doesn't match." "I never got the email." Those tickets come to us, not your credentialing team.

The CMS relationship, carried by us

Surrogate standing with CMS, the federal certification on every filing, and the calls to the Enumerator when a name mismatch or a verification hold stalls an application. The applicant sees a status instead of silence.

Nothing to build or maintain

CMS has no API for creating an NPI. Driving the NPPES wizard and keeping up with its changes is our core work.

Switching cost is one link

Want it back in-house or elsewhere? Revert the link. Nothing is locked in.

What is the next step?

Try a simple, measurable 30-day pilot.

Point your "Don't have an NPI?" link at SimpleNPI for 30 days. We send you the completion numbers daily with the option to end the trial at any time.

How the pilot runs

Start with a link-only pilot, free at launch. Applicants provide their information directly to SimpleNPI. You can restore your original link at any time.

  1. Reply with your current NPI process/link you would like to change. We send you a customized link for your company and the one help tip to put beside it.
  2. Optional 20-minute call: we file an NPI live for one of your applicants while you watch.
  3. See the results: Applicants who already have an NPI get it back in seconds; the rest get theirs usually within minutes.
  4. Daily report: applicants started, already-had-an-NPI, NPIs issued, median minutes to issue, pended and why. At day 30 you keep the link with a signed agreement, add the button or a webhook, or revert.

Questions platforms ask

Do we need a BAA?

No. Applicants share demographics and license data, not health information, so there is no PHI. A data processing addendum covers it.

Can we rely on the NPI we receive?

Verify it the way you do today. We send the NPI with its registry record, so the check is the same lookup you already run.

How do we end the pilot?

Revert the link. Nothing is locked in and no agreement is needed to stop. Applications already in progress are finished for the applicant.

What are the potential liabilities, and how do we address them?

In a link-only pilot, applicants enter their information directly on SimpleNPI. Nothing passes through you, and you sign nothing with CMS. Review the data flow, authorization, security documentation and applicable terms with your team before launch. The link can be removed at any time.

Potential liabilities

  • Custody of identity dataAn NPI application requires the applicant's Social Security number and date of birth.
  • Federal certification (18 U.S.C. 1001)Every NPI application is certified under penalty of law.
  • "Paid for a free government document"An applicant could feel charged for something CMS gives away.
  • Data breach adjacencyA breach at a service your onboarding links to.
  • Vendor and procurement reviewA new third party in your applicant flow.

How we address them

  • Entered on our page onlyTyped on SimpleNPI over a signed one-time link after a mobile code check. Never accepted by the API, never passes through you. Stored encrypted and deleted the moment the NPI is issued, expires or is cancelled.
  • Ours as surrogate, not yoursBacked by the applicant's e-signed authorization, retained seven years per CMS surrogate rules with no identity data in it. You are not a party.
  • Free, and we say soSimpleNPI identifies itself as an independent service. The NPI is free from CMS and anyone can apply on their own. No referral fees or revenue share to you.
  • Applicant PII only, insuredDemographics and license data, no PHI, so a data processing addendum covers it. Cyber and errors-and-omissions insurance on our side. You sent us nothing.
  • Subject to your policiesRequest the service terms, insurance details and allocation of responsibilities for your review.

Still have a question? Email info@simplenpi.com with "Liability" in the subject.

What does it cost?

Nothing for the first 30 days, and nothing ever for the applicant. The NPI is free from CMS, and SimpleNPI never charges an individual practitioner to file it. During the trial there is no card, no invoice, and no agreement to sign other than permission to send you the daily NPI report.

At day 30 you will have your own numbers: applicants started, NPIs issued, median minutes to issue. We propose a price from those numbers and the level you want to run at, in writing. Nothing is billed until you sign. If the numbers or the price do not work for you, simply remove the link.
