Every new technician billable sooner

Most RBT hires are new to the field and have never heard of an NPI. SimpleNPI gets each hire their NPI from one link in your onboarding checklist, usually within 10 minutes, so your credentialing team stops chasing NPPES and stops collecting Social Security numbers.

Is this our problem?

The NPI should not decide a technician's start date.

Your credentialing team already has a process for the NPI. At most agencies it is one of two: the hire applies at NPPES and a coordinator chases them, or a coordinator applies for the hire with their Social Security number. Both cost days and staff hours. SimpleNPI replaces that step with one link. The hire fills a short form on their phone, we file as surrogate, and the NPI arrives by email and text, with all the documentation.

How the NPI step runs today

Credentialing › Welcome packet › Before your first day
Welcome to the team! Four things before your start date:
  1. Upload your RBT certification and photo ID
  2. Complete the background check link
  3. Sign the HIPAA and supervision acknowledgements
  4. Apply for your NPI at nppes.cms.hhs.gov (free, about 20 minutes) and reply with the 10-digit number. If you would rather we apply for you, send your Social Security number and date of birth to credentialing@.

Day 6: "Checking in, we still need your NPI before we can add you to the payer roster."

Path A: the hire applies

Two CMS accounts, about 30 screens and 95 fields, on a phone, for someone who has never filed anything with CMS. Then the coordinator chases the number for days.

Path B: a coordinator applies for them

The hire emails a Social Security number and date of birth. A coordinator signs in to their own CMS account, works the same 30 screens "as an employee of the provider", and forwards the notification email when it lands. 20 to 30 minutes each, and your staff holds the identity data and signs the federal certification.

Path C: bulk file exchange

CMS allows bulk enumeration only for an approved Electronic File Interchange Organization, with a signed CMS-10175 on file. Few agencies have it, and it still needs each hire's identity data in your hands.

What a hire faces at NPPES

Is this familiar to your team?

Your onboarding checklist has an NPI line

"Apply at NPPES and send us the number." Then the chase emails, and a start date that waits on a government website.

Identity data in an inbox or a spreadsheet, a CMS login used for other people's applications, a notification email that has to be forwarded.

Your payers want the technician's own NPI

Florida Medicaid, Sunshine Health, Indiana Medicaid, Optum commercial claims since January 2026, TRICARE. The list grows every year.

Why technicians increasingly need their own NPI Examples from public payer notices. Check your own payer manuals.
  • Florida MedicaidEvery rendering provider needs an NPI on file, and that includes registered behavior technicians. Since March 27, 2026, behavior analysis providers need an active NPI to submit claims through the Florida Medicaid portal.
  • Sunshine Health (Florida)January 2025 credentialing notice: "RBTs must have their own NPI number."
  • Indiana Medicaid (IHCP)Credentialed RBTs enroll individually as rendering providers (provider type 11, specialty 625), which takes an individual Type 1 NPI.
  • Optum commercial behavioral healthFrom January 1, 2026, claims carry the NPI and taxonomy of the rendering provider as well as the billing provider, as reported by ABA billing vendors. A group NPI in the rendering slot fails the edit.
  • TRICARE Autism Care DemonstrationAll ABA providers must hold an NPI; the deadline for existing providers passed in August 2021.

Taxonomy codes we file by role: Behavior Technician 106S00000X, Assistant Behavior Analyst 106E00000X, Behavior Analyst 103K00000X. A hire moving from another agency keeps the NPI they already have.

What is it costing us?

Technician-days waiting, and coordinator hours spent.

Each day a technician waits on an NPI is a day they cannot go on a caseload that a payer bills under their own number. Each application a coordinator runs or chases is staff time, plus a Social Security number in your inbox. Put in your own numbers. Defaults are illustrative, nothing is stored or sent anywhere.

Your hiring

Your illustrative cost, per month

240technician-days waiting on an NPI
12coordinator hours on NPIs
Billing delayed while hires wait: $72,000 a month, $864,000 a year.

Hires without an NPI, times days waiting, times revenue per technician-day. With SimpleNPI the wait is usually under an hour and the coordinator minutes go to zero. Illustrative: change the numbers on the left to see your own.

What does the fix look like?

One link in your checklist. The NPI comes back to you.

The hire opens the link on their phone, answers ten questions, e-signs an authorization for us to file, and gets the NPI by email and text, with all the documentation. You get the NPI and its registry record the same day, in your daily report or straight into your tracker. Issuance timing depends on CMS review, and most NPIs are issued and sent from start to finish in under 10 minutes.

Without SimpleNPI

The hire works two CMS accounts and about 30 screens alone, or sends a coordinator their Social Security number so the coordinator can. Someone waits, someone chases, someone forwards the email.

With SimpleNPI

One page on a phone, about five minutes. We check the registry first, pick the taxonomy for the role, file as surrogate with the hire's e-signed authorization, and send the NPI to the hire and to you.

Already has an NPI? We find it first.

Free registry check before anything is filed. A technician from another agency usually has one and may not remember it. Returned in seconds.

Name doesn't match the certification? We catch it.

The main cause of a stalled application is checked for accuracy before filing, with human oversight, not after.

CMS holds it for review? We work it.

If NPPES pends an application, we handle it with the Enumerator and the hire sees a status instead of silence. You see "pending, with an ETA" in the report.

How does it fit our process?

Keep your process. Change where the NPI comes from.

Nothing about your credentialing workflow has to change. The hire still ends up with a Type 1 NPI in your tracker, verified with the same registry lookup you run today, and payer enrollment stays yours. What changes is who works the 30 screens and who holds the Social Security number. Each level includes the ones before it. Always free for the hire, and free for your agency to try for 30 days.

Level 0Checklist link
Put the SimpleNPI link where the NPPES link is today.Onboarding checklist, offer packet, HRIS task or welcome email. The link can carry the hire's name, state and role so they type less. If you onboard in a web portal, a pop-up button is also available.
15 minutesCredentialing staff
You get: the NPI and registry record by email the same day, plus a daily report of who started, who already had one, who is issued and who is pending.
Level 1Roster
Send us each cohort: name, email, mobile, state, role.We send every hire their link by email and text, and send reminders. NPIs come back to you in one roster file as they issue.
5 minutes a cohortCredentialing staff
You get: nothing to chase. One file per cohort with NPI, issue date and registry record, and the short list of hires who have not finished.
Level 2Webhook into your tracker
Give us one HTTPS endpoint.Signed, retried, idempotent. The NPI lands in your credentialing tracker: a CentralReach employee record through the API access your CentralReach rep provides, Medallion, Verifiable, Smartsheet or a Google Sheet.
Half a dayEngineering or your tracker's integration team
You get: the NPI in your system with no inbox in the loop, and "pending, with an ETA" instead of a hire gone quiet.
Level 3API from your ATS or HRIS
When an offer is accepted, your system posts the hire.We text and email them a secure link for identity details and e-sign only, about 60 seconds. Nothing sensitive passes through you. Status and NPI flow back.
Your sprintSandbox and test keys included
You get: the NPI step disappears from the coordinator's day entirely, and the full lifecycle is in your system.

At every level, this moves to us

Identity data leaves your team

No Social Security numbers in inboxes, spreadsheets or a shared CMS login. The hire types them on our page only, and we delete them the moment the NPI issues.

Support inquiries, answered by us

"Which taxonomy am I?" "My name doesn't match my certification." "I never got the email." Those come to us, not your credentialing team.

The CMS relationship, carried by us

Surrogate standing with CMS, the federal certification on every filing, and the calls to the Enumerator when a name mismatch or a verification hold stalls an application.

Switching cost is one link

Want it back in-house or elsewhere? Revert the link. Nothing is locked in, and the NPIs already issued belong to your technicians for life.

What is the next step?

Run your next cohort through it.

Put the link in your onboarding checklist for 30 days, or email us one cohort's roster. We send you the numbers daily, and you can stop at any time.

How the pilot runs

Start with a link-only pilot, free at launch. Hires give their information directly to SimpleNPI. You can restore your original checklist at any time.

  1. Reply with how the NPI step runs for you today: a checklist link, a coordinator who applies, or both. We send a link for your agency and the one sentence to put beside it.
  2. Optional 20-minute call: we file an NPI live for one of your hires while you watch.
  3. See the results: hires who already have an NPI get it back in seconds; the rest get theirs usually within minutes.
  4. Daily report: hires started, already had an NPI, NPIs issued, median minutes to issue, pended and why. At day 30 you keep the link with a signed agreement, add the roster or a webhook, or go back.

Questions ABA agencies ask

Do we need a BAA?

No. Your hires are employees, not patients. They share demographics and credential data, not health information, so there is no PHI. A data processing addendum covers it.

Can our coordinator see where each hire is?

Yes. The daily report lists every hire by the reference you gave us: not started, already had an NPI, issued, pending with an ETA. With the roster level the same list comes back as one file per cohort.

What about hires who already have an NPI from another agency?

We check the registry first and hand it back in seconds, with the registry record. A person has one NPI for life, so nothing is filed for them.

Does anything change with our payers?

No. It is the same Type 1 NPI CMS would issue any other way, with the taxonomy for the role. Payer enrollment, rostering and supervision stay exactly as you run them today.

Can we rely on the NPI we receive?

Verify it the way you do today. We send the NPI with its registry record, so the check is the same lookup you already run.

How do we end the pilot?

Put the old checklist line back. Nothing is locked in and no agreement is needed to stop. Applications already in progress are finished for the hire.

What are the potential liabilities, and how do we address them?

In a link-only pilot, hires enter their information directly on SimpleNPI. Nothing passes through you, and you sign nothing with CMS. If a coordinator applies for hires today, the pilot also takes the Social Security numbers and the federal certification off your staff. Review the data flow, authorization, security documentation and applicable terms with your team before launch. The link can be removed at any time.

Potential liabilities

  • Custody of identity dataAn NPI application requires the hire's Social Security number and date of birth.
  • Federal certification (18 U.S.C. 1001)Every NPI application is certified under penalty of law.
  • "Paid for a free government document"A hire could feel charged for something CMS gives away.

  • Vendor and procurement reviewA new third party in your hiring flow.

How we address them

  • Entered on our page onlyTyped on SimpleNPI over a signed one-time link after a mobile code check. Never accepted by the API, never passes through you. Stored encrypted and deleted the moment the NPI is issued, expires or is cancelled.
  • Ours as surrogate, not yoursBacked by the hire's e-signed authorization, retained seven years per CMS surrogate rules with no identity data in it. Your agency is not a party.
  • Free, and we say soSimpleNPI identifies itself as an independent service. The NPI is free from CMS and anyone can apply on their own. No referral fees or revenue share to you.
  • Applicant PII only, insuredDemographics and credential data, no PHI, so a data processing addendum covers it. Cyber and errors-and-omissions insurance on our side. You sent us nothing.

Still have a question? Email info@simplenpi.com with "Liability" in the subject.

What does it cost?

Nothing for the first 30 days, and nothing ever for the hire. The NPI is free from CMS, and SimpleNPI never charges an individual practitioner to file it. During the trial there is no card, no invoice, and no agreement to sign other than permission to send you the daily NPI report.

At day 30 you will have your own numbers: hires started, NPIs issued, median minutes to issue. We propose a price from those numbers and the level you want to run at, in writing. Nothing is billed until you sign. If the numbers or the price do not work for you, simply put the old checklist line back.
